New Feature: Smarter Document Management

Keeping website documents up to date is one of the most important parts of managing a school or organisation website. Policies, reports, key information and downloadable documents all need to be easy to find, clearly presented and regularly reviewed.

We’re pleased to introduce a new document management feature for Edu-Hub websites.

This new feature helps make that process much easier.

As well as uploading and organising documents in your website admin area, you can now keep track of review dates, assign responsibility for key files and see clearly which documents may need attention.

**How it works**

Documents can be uploaded to your document library as usual, but you can now also attach review information to them.

For each document, you can record:

- a category
- the name of the person responsible
- their email address
- the review date
- notes about the document

The system then shows whether a document is:

- current
- due soon
- overdue
- or not yet assigned a review date

This gives you a much clearer overview of which files are up to date and which ones may need checking.

**Example use cases**

This feature is especially useful for schools and organisations that need to keep important documents current and compliant.

Examples include:

- safeguarding policies
- privacy notices
- SEND information reports
- pupil premium strategies
- sports premium reports
- admissions documents
- prospectuses
- annual reports
- governance documents
- staff handbooks or key downloadable resources

Instead of relying on memory or separate spreadsheets, you can now track that information directly within your website system.

**How to use it**

In the Edu-Hub admin area, upload your document to the Document Library as normal. You can then open its document review settings and add the review details.

Once that is done, the Document Reviews area gives you an overview of all documents and their current review status, helping you quickly spot anything that needs updating.

This makes it much easier to stay organised and avoid outdated files remaining on the website longer than intended.

**Why it’s useful**

This feature helps by:

- keeping important documents organised
- reducing the chance of outdated files staying live
- making review responsibilities clearer
- helping with compliance and good website housekeeping
- giving you a simple overview of document status in one place

For schools in particular, this can be a very helpful way of managing statutory and policy documents more confidently.
